The terms, in plain English.

These terms are an agreement between Cubby HQ and the school or district that opens an account. They are short on purpose. If anything here is unclear, ask us before you agree to it: info@cubbyhq.app.

What Cubby is

Cubby tracks the devices and property your school lends out: who holds what, what condition it is in, what it costs, and what happens when something breaks or goes missing. Your school's staff use it. Students never sign in.

Your account

Accounts are for your school's staff, created with a work email and password or with Google sign-in. You are responsible for keeping credentials private, for the people you invite, and for setting their roles honestly. If an account is compromised, tell us at info@cubbyhq.app and change the password right away.

Your records

Everything your school enters belongs to your school. You give us permission to host and process those records for exactly one purpose: running Cubby for you. You confirm your school has the authority to enter the student and family information it enters, and that using Cubby for those records is consistent with your school's own obligations to its families. Our side of that promise is the privacy policy.

Paying for it

Cubby is a paid subscription from day one. There is no free trial. Prices are on the pricing page, billing is monthly or annual, and payment runs through Stripe. You can cancel whenever you like from the billing screen, and the subscription runs to the end of the period you paid for.

If payment stops or a subscription ends, your account goes read-only. Your records stay visible and exportable. We do not delete a school's records for not paying, ever. Paying again turns everything back on.

What you agree not to do

  • Use Cubby for anything unlawful, or enter records about people your school has no business keeping records on.
  • Probe, overload, or work around the security of the service, or try to read another school’s records.
  • Resell access to Cubby or pass one school’s subscription around a district. District plans exist for that.
  • Scrape the service or use it to build a competing product.

The AI assistant

The assistant answers from your school's records and is careful, but it can still be wrong. Check its answers before you act on them, especially before billing a family or writing off a device. The record screens, not the assistant, are the source of truth.

What we promise, and what we do not

We work to keep Cubby fast, correct, and available every school day, and we tell you when something goes wrong. Cubby is still provided as is, without a formal uptime guarantee. To the extent the law allows, our total liability for any claim is capped at the amount your school paid us in the twelve months before the claim arose, and neither of us is liable to the other for indirect or consequential damages.

Leaving, and being asked to leave

You can stop using Cubby at any time: export what you want, cancel the subscription, and go. We can suspend an account that breaks these terms or leaves its bill unpaid, and we will say why. Where something serious forces our hand, we still do not destroy your records without the process described in the privacy policy.

Changes

If these terms change in a way that matters, we email your school's administrators before the change takes effect, and the date at the top moves. Continuing to use Cubby after that date is acceptance of the new terms.
